Booking and Payment Conditions
Booking Procedures and Confirmation
All bookings require a formal proposal acceptance followed by prompt deposit payment to secure your chosen luxury arrangements. Confirmation is issued only upon successful receipt of funds and supplier confirmations, outlining all details including itinerary, accommodations, and services.
Payment Schedules and Methods
A non-refundable deposit, typically 25-50% of the total cost, is due upon booking. The remaining balance is required 90 days prior to departure. We accept major credit cards (Visa, Mastercard, Amex), bank transfers, and select alternative secure payment methods. Details are provided on individual invoices.
Currency Exchange and Pricing Adjustment
All quoted prices are in USD unless otherwise specified. We reserve the right to adjust prices due to significant currency fluctuations or unforeseen supplier cost increases, though such instances are rare and communicated immediately.
Payment Security and Processing
We utilize industry-leading encryption and security protocols to process all payments, safeguarding your financial information. Our payment gateways are PCI DSS compliant, ensuring complete data protection throughout the transaction process.
Cancellation and Modification Policies

Timelines and Refund Schedules
We understand that plans can change. For cancellations notified 90 days or more before departure, a 75% refund of the total booking cost is provided (less the non-refundable deposit). For cancellations between 60-89 days, a 50% refund applies. Cancellations within 60 days of departure are non-refundable. Certain bespoke experiences may have more stringent supplier-specific terms; these will be clearly outlined in your proposal.
Force Majeure and Travel Insurance
In instances of unforeseeable circumstances (force majeure), we strive to rebook or credit your journey where possible, adhering to supplier policies. We strongly recommend comprehensive travel insurance at the time of booking to protect against unforeseen disruptions, medical emergencies, and trip cancellations. We can provide recommendations for reputable providers offering robust coverage tailored to luxury travel.
Liability and Protection Terms
Company Liability Limitations
Luxury Escapes acts solely as an agent in arranging private jet charters, yacht expeditions, resort accommodations, and other related services. We do not own or operate transportation vehicles, hotels, or other facilities. Therefore, our liability for services provided by third-party suppliers is limited to ensuring due diligence in their selection and arrangement. We are not liable for any acts, omissions, or negligence of such third-party suppliers.
Travel Insurance Requirements
While we arrange your journey with the utmost care, personal responsibility for travel insurance is paramount. We require proof of adequate travel insurance coverage for all international bookings, covering medical emergencies, trip cancellations, interruption, personal liability, and baggage loss. We highly recommend policies that specifically cover private jet, yacht, and specialized luxury travel.
Dispute Resolution Procedures
In the rare event of a dispute, we prioritize clear communication and amicable resolution. All disputes arising from these terms and conditions will first be subject to good faith negotiations. Should a resolution not be reached informally, disputes will be settled by binding arbitration in accordance with the rules of a recognized international arbitration body, chosen by mutual agreement.
